Create an event

You can create events directly through your Space Manager. Events can be physical, virtual, paid, or free, and you can manage visibility, co-hosts, and registration options.


Step 1: Access the Events Tab

  1. Go to your Space and open Column Two.
  2. Click the drop-down arrow next to your Space name and select Manager.
  3. Once in the Space Manager, select the Events tab.
  4. Click Create Event in the top-right corner.

Step 2: Fill Out Basic Event Information

  • Event Name* – Enter a descriptive name for your event.

    Description – Provide a brief overview of your event.

    Date & Time:

    • Start Date & Time* – Use mm/dd/yyyy, --:-- --    format.
    • End Date & Time* – Use mm/dd/yyyy, --:-- --    format.
    • Timezone* – Select the timezone for your event.

      Location & Event Type:

    • Physical Location – Enter an address or venue.
    • Virtual/Online – Enter a link to the online event.
    • Event Location – Specify the location details.

      Additional Details:

    • Event Link – Optional external link for more information.
    • Attendee Limit – Set a maximum number of attendees or leave as “No limit.”

Step 3: Payment Settings (Optional)

  • To make your event paid, connect your Stripe account and obtain approval.
  • Enable Paid Event to charge attendees for tickets.

Step 4: Co-Hosting Organizations (Optional)

  • Select Spaces you manage to co-host this event.
  • Only Spaces where you are an admin can be added as co-hosts.

Step 5: Configure Event Settings

  • Public Event – Event appears in the public Events feed and anyone can register.
  • Featured Event – Highlight your event prominently within your Space.
  • Invite Only – Only people with the event link can register; it won’t appear publicly.
  • Easy Registration – Allow attendees to register without a Vinly account; they can register using just their name and email.

Important Notes on Registration Types:

  • Easy Registration can only be enabled for non-paid, public events.

    Private Events require attendees to:

    1. Have a Vinly account
    2. Be a member of your community
  • Invite-Only Events only appear to people who receive the event link.

Step 6: Upload an Event Image

  • Click or drag an image to the upload area.
  • Supported formats: JPG, PNG, GIF, WebP
  • Maximum file size: 10MB
  • You can crop, rotate, or adjust the image before saving.

Step 7: Save and Publish

  • Review all information and click Create Event to publish it.
  • If your event is paid, attendees will only be able to purchase tickets after your Stripe account is connected and approved.

Step 8: Creating Recurring Events (Optional)

If your event repeats on a regular schedule, you can set it as a recurring event. This allows Vinly to automatically generate a series of events based on your selected pattern.

Recurring Event Settings

When creating (or editing) an event, scroll to the Recurring Event section. You’ll be able to configure the following:

1. Enable Recurrence

Toggle Recurring Event on.

2. Choose an End Condition

You must choose how long the recurring series should run:

  • End Date – Select a specific date when the recurring series stops.

    Never Ends – The event continues indefinitely.

    • If selected, Vinly will automatically create future events in the series on a rolling basis.

3. Set Recurrence Pattern

Configure how often your event repeats:

  • Weekly Occurrence – Choose which day of the week the event repeats on.

    Weeks Skipped – Set how many weeks to skip between occurrences.

    • Example:
      • Weekly = Monday, Weeks Skipped = 0: Event occurs every Monday
      • Weekly = Monday, Weeks Skipped = 1: Event occurs every other Monday
      • Weekly = Monday, Weeks Skipped = 3: Event occurs once every four weeks

4. How Vinly Generates the Event Series

Once recurrence is configured:

  • Vinly automatically generates each instance of the event based on the start date, day of the week, and skip interval.
  • If Never Ends is selected, Vinly continues creating new events on an ongoing schedule so your calendar always stays up to date.

Editing or Stopping Recurring Events

  • Editing a recurring event allows you to modify future occurrences without affecting past ones.
  • To stop a recurring series, simply toggle off the recurring option or set an end date.

This ensures your events are set up efficiently, visible to the right audience, and compliant with Vinly’s registration rules.


Note: Importing Events from External Platforms

Vinly also allows you to quickly pull in basic event information from external event platforms.

You can use the Import Event button to automatically scrape event details from:

  • Eventbrite
  • Luma

Simply paste the link to the event, and Vinly will import the title, description, date, time, and other available details into your event form. You can then edit, update, and publish the event as needed.
